Reporting Accurate Supervisory Information

A darker gold swatch.

On 9/13/2021, our partners at Campus Human Resources sent out the following notice.

As recently communicated on September 10, 2021, the following guidance has been provided by the COVID-19 Response and Recovery Task Force (CRRTF): Updated Campus COVID-19 Protocols in Effect. We are writing to request your support to ensure that departments within your purview are informed about the need to provide accurate information about supervisory designations to support compliance.

UCLA Symptom Monitoring and Vaccination Verification System Survey

The UCLA Summary of COVID-19 Public Health Mitigation Requirements (PDF) document includes UCLA COVID-19 protocols, requirements, and guidelines for faculty, staff, students, and third-party contract workers present on UCLA campus or properties to mitigate public health risks and reduce the spread of COVID-19.

All individuals who are living, learning, and/or working on the UCLA campus (both vaccinated and unvaccinated) must complete the UCLA COVID-19 Symptom Monitoring and Vaccination Verification System Survey prior to arriving on campus. If the individual is living on campus, the survey must be completed each morning.

All employees, even those that are fully remote, must fill out the symptom survey to completion at least once to (1) declare that they are fully remote, or (2) comply with the vaccine policy requirements. The update includes a requirement that supervisors of staff, and department chairs for academic appointees, must check the UCLA COVID-19 Clearance Portal daily to verify that their direct reports are cleared to be onsite at a UCLA property. Please refer to this COVID-19 Clearance Portal Tip Sheet (PDF) for more information about the portal and how to use it.

Troubleshooting: Updating Supervisor/Manager Information in UCPath

UCPath data is used to populate portions of the UCLA Symptom Monitoring Survey and UCLA COVID-19 Clearance Portal. We are requesting your assistance to verify and ensure that accurate information regarding identification of supervisors has been entered into UCPath. If supervisors/managers are unable to view their employees on the clearance portal, please update the Reports To Field. (Note: updates take 24 hours to reflect on the UCPath Manager Dashboard and Clearance Portal.) A Job Aid on Updating Position Data: Reports To Field is also available for reference.

For more information about UCLA’s response to the pandemic, please see UCLA’s dedicated COVID-19 website, which includes all campuswide communications on this subject. We appreciate your assistance.

Sincerely,

Lubbe Levin
